VSO Funding Requests
Bengalis at Stanford (Bhaswar B Bhattacharya):
-Group for Bengalis, some from India some from Bangledesh. Around 35 people for event. Request $490. Planning to host movie, have dinner for guests. Food + Programming for 30 grads and 5 UGs. Recommended $507.50 total, with $490 for food and $17.50 for programming. Advertising: put on GSC calendar, on facebook, have mailing list. Communication with SIA or Center for South Asia? No, separate from them, but have a lot of SIA members and do post on SIA mailing list. Center for South Asia, haven’t done before but can. Ashveer heavily suggests both options for communications, because they can reach more relevant people. Happy to hear that there are UGs coming. Unanimous passes.
-Facilitate communication within Taiwanese students (yay!) to promote Taiwanese culture at Stanford. Requesting 2 events in next month. Moon cake festival celebration, is one of the most celebrated Chinese festivals. In Taiwan they usually have BBQ with friends and family to celebrate festival, will also throw one here. For this event on Sept. 21, requesting for 120 grad students and 20 UGs. Request $1290 in total for event, money will be spent on typically BBQ food, drinks, other utensils. Second event is annual welcoming dinner, on Sept. 29. Hold every year to welcome new students, also invite old students to event so they can get to know each other. Requesting 160 grad students and 20 UGs. Total $1630, spent on food and drinks. Ateeq asks how they target new students. CM says facebook page, invite all new students, and already have new student orientation in Taiwan so most of them know this event. Adrienne says should link FB page to GSC page. One FB page is more official, other one is more leisure and anyone can post. They are asking to link official page to GSC? Yes, GSC people say. Should be advertised in English and events should be in English. CM says ads in English and Chinese. Recommendation: $1220 food, $70 prog for mooncake fest ; $1540 food, $90 prog for welcome party. Unanimous passes.
Lots of emails about alerts around campus. Adrienne has whistles with her. Was going to get bike lights with whistles, still going to get bike lights, but the whistles are very cheap and sounds like a train. *she whistles over and over again*. *she blows a sharper whistle*. Says sharper whistle is more dinky. Susie says that will catch more attention. Either way we are going to get thousands of these. Black one is metal, plastic one is the sharper whistle. Black whistle is 79 cents each, shrill is 70 cents each. Maybe 1500 whistles. Campus police are matching our funds for lights and whistles. adrienne spoke with officer contreras (?) and she said that bells are ugly and not very useful. It’s still in limbo. But they agreed to match our funds. Adrienne met with Bryce as well and he agrees about whistles vs. bells. Ateeq says that SSE has a bunch of GSC’s metal bottle openers. Wendy says that Stanford Kenpo (type of karate) offers self defense classes, usually in winter quarter. Has great hands on component, because practical component cannot be emulated by just telling people what to do, and they also empower women for self defense approaches. Wendy doesn’t know if they will be open to offering more classes, because it is the groups’ members who volunteer to be the teachers (punching bags). She says padding is very thick. First year they offered the class, they didn’t think they needed the gear, but had people with split lips or something. The women showed them who is boss. So now they wear protective gear. Wendy can figure out who to contact. They do it in Arrillaga? Doesn’t know if they have expenses for the event. Adrienne says we can off GSC raffle for self-defense prizes. Wendy only found out because friend who was going emailed other friends, she doesn’t see it publicized. Open to staff and spouses too. She thinks empowerment is the most important. She says you practice how to say no while stomping their feet. Wendy will talk to them more. 1-2 hours long workshop. Pepper spray not a good idea. David takes break to get mangoes. Maybe can have workshop teaching people how to use pepper spray? Maybe not a good idea? Wendy wants to point out that we don’t want to make people fearful because we are suddenly giving out these self defense devices.
Welcome Back Party – Sept. 27
Organization went well, approved. ~1200 people for welcome back party, and about 1000 drink. Usually we get between 12-16 kegs, a bunch of wine, mike’s hard, last year we got mixing machines and made margaritas, have photo booths and EANABs too. Adrienne says we need volunteers to be committed and not back out, because we are trying to hire laborers, but will still need help. Everyone needs to be there for cleanup and at least one other shift, says they know who they are. Will stalk them if needed. Biggest event, first chance to get out there. Music, booze, EANABs, photobooth. Back to school theme this year. Will create FB event, will invite everyone and all their friends. For NGSO, also have pizza dinner and mock meeting. Maybe also get T-Shirts for these events. Should be clear who is sponsoring the events. Austin says there are companies which design shirts for you (like Custom Ink) and they will design for you at minimum $12-13. Minimum quantity is 15-20 shirts. 70 American apparel shirts from Custom Ink only around $1000. Ashveer says party last year was really crowded and in a tight space.
Summer Party Feedback
-Fewer people than last year. Usually earlier in the summer. Caters estimated 280 people they fed. Gave out 160 wristbands. Lots of children who did not get wristbands.
Ideas for GSC Website.
- Wendy says the icons on the front page should both fit on the page without scrolling.
- Calendar being wider to fit all the page space
- Say “Graduate Student council” more often without using the acronym
- Update bios for Trevor.
- Link to the FB page on the front page
- Photos from grad formal last year – Wendy says in a box that went into Kunal’s car. Susie loves polaroids!
- Bring in DSLRs to take headshots for us. Glamour shots. Adrienne can ask friend to take pics.
Mock Meeting Discussion
-Take advantage of them for volunteering for stuff
- prelim grad formal discussions
