i. Please be aware that all meetings are recorded and will be made available on the GSC website.
ii. Approved minutes from the last meeting (4/30/08) by consensus.
4) 6:06 Funding (Lan)
Listen to this segment
i. Blackstage – Weren’t in time to post their event to Grad Events, so not funded.
ii. GSB International Development Club – Wanted a line-item request, but Polina and Lan did not agree with that change, so we will not vote on that.
iii. World Peace Buddhists – Planned event is too expensive for our constraints, so looking for other money instead.
iv. Comedy Club – Asking $200 for honorarium. This will get them to their $8000 cap. Will be for last show of the quarter, part of transitioning to a Thursday schedule. Are looking into matching funds from other sources for that. Kristina thought that the previously requested $7000 was already at their cap based on per student money, but Adam B. reports that is not the case. Giving $200 passes by consensus.
iv. Stanford Taiwanese Student Association. End of the year celebration, with about 200 guests. Will rent Tressider Oak Lounge for this, which is $210, with the rest of the money goes to food. This event has been funded in the past, they have a good number of students attending, and are not near any caps. Recommended $1160. Giving $1160 passes by consensus.
5) 6:12 Programming (Justin and Adam S.)

GCC Ops update instead – Last year’s GSC came up with what aimed to be better GCC space reservation rules, to make the spaces more available to students. This had been put into place in a sort of trial period, and went well, so GCC Ops is now making those suggestions the official rules. Adam B. asks whether a group of students could hold a weekly course in the building, Justin reports that the idea would be to provide students with space they can’t get from academics, so that would not be covered. Keeping the new rules in place means that the University can’t take over this space for classes, which we think is a good thing, even if some students would find classes in GCC to be convenient.
Rules were to make the space more available:
1) Eligibility – must be a Stanford Graduate student to sign up
2) Use – must be conducive to graduate students (leaves open for mixed events).
3) Priority – GSC, GSPB, GLO can reserve far ahead of time. VSOs (with any graduate students) have next priority. Students on their own can also sign up, just not as far in advance. Info at GCC.stanford.edu. Last point is that if Housing wants to use the space, must go through GSC and GLO.
6) 6:19 ASSU Update (Jonny and Fagan)
Listen to this segment
- Curious as to our thoughts on the lease for the 750 running out, and how they can be involved in this project. Are currently working on restablishing the CoHo, in conjunction with SSE. However, Justin reports that the 750 lease was actually resigned in June 2007, goes until June 2010, so not running out immediately like many of us seem to have thought, and also seems to be a source of confusion even among administrators. This resigning was not done with student feedback, and was done rather quickly.
- In other news, NomCom has a new Old Union Advisory Board, we can apply by Friday. They’d like grad students on it.
- Part 3, Introduce Andy, who will be part of their advisory team, was a senator last year.
- Part 4, David Gobaud, who also ran for ASSU exec and had much grad support, will also be working with Jonny and Fagan on such things as Grad Night on the Quad, and utilizing his technical skills.
7) 6:26 Karaoke Funding Request (Kristina)
Listen to this segment
We have a karaoke machine, but the CDs were stolen at one of the events for which it was borrowed, so need a replacement for those. Groups borrowing the machine need to put $250 deposit on it, and the total cost for new CDs will be about $300. The deposit was at $250 based on the cost of the discs the first time, but that was lower since it was bundled, which is why the new cost is more. We will approve the cost of $300 to purchase the new discs, and Fen volunteers to track down the refund from the equipment rental office. In the future, we will make copies of the CDs, and give out the copies instead.
8) 6:31 Music Equipment Purchase Proposal (Sean)
Listen to this segment
Brief summary of the idea of this, namely that students arrive on campus without their band equipment, and the proposal suggests that GSC buy some music equipment that they could borrow and use.
$5050 requested, which includes $300 for replacing strings and some equipment.
In the proposal, could borrow equipment for 5 hours at a time.
Positive is that if there are more grad students who have opportunities to practice, would mean they could play at events.
Planning to buy guitar, bass, bass amp, other amp, drum set.
Adam B. would like more information about what type of equipment that Sean is considering, such that he could look at some other options as well. Donna reminds us that most of us probably don’t have the expertise anyway, so that may not be useful. Some would like approximate ranges for each piece individually, but the negotiating will likely be done overall for the whole set, so prices for individual pieces will probably not be useful information
Vote on funding $5050 tops, and Sean will send out information about what he’s considering, and take comments and feedback until Friday, May 9th, at which point he will start the purchasing process.
9) 6:46 Events Funding Request (Fen)
Listen to this segment
Requesting $1200 for an event on Thursday May 22nd at the Buddha Lounge in Mountain View. Have offered no cover with Stanford ID, and drink specials 7-10pm. It’s a nicer type of place, so the deal we’re getting is pretty good. Thinking about two busses, 9pm-2am. Comment about starting earlier in order to catch more of the drink specials, but want to keep the last bus at 2am, after the Buddha lounge closes, so starting earlier would then be more hours of busses and more expensive. In terms of attendance, have had 100 people at NOLAs events, but think that since this is a newer and less frequented place, it could get more interest. Given that this place is closer than say, San Francisco, one bus looping may be enough. This would fit 55 people, which would be fine for most of the evening, but might be a problem for the last bus after the bar closes. If there is only one bus, it could start earlier, perhaps 8pm, and run until 2am, so $800 would probably cover it. GSPB will chip in some as well, and will be giving the manpower. This will come from the 07-08 budget year co-sponsorship money.
Second event – Rains and EV CAs would like money for the Memorial Day Block party this year. Will be on May 28th. We’ve given $2000 for the past few years, but it does not seem to ever have been actually written into the budget as a line-item, although some people thought that it had been. The event will have food, beer, beer tasting, DJ and possibly more music, a volleyball match, etc. Renting some lights for $260 for the event. Will be held at Willis. EV is giving $3000, GSPB giving $1000, Rains giving $3235. Giving $2000 passes by consensus.
10) 6:53 Committee Updates
Listen to this segment
Etosha Cave would like to be chair of the Parking and Transportation Committee. Got motivated with the Go-Pass not passing, but realizes that may be unviable at this point and would like to focus energies in other areas.
She’d like to think about the C-line’s route as it seems to be less ridden, look into routes in other places such as Redwood City, make people aware of the Enterprise student evening plan, which is only $10 if they have car available, think about SuperShuttle group discounts (though this may not actually be the case anymore, based on Kristina’s new browsing of the website), publicize the KX bus to the airport which is less expensive.
11) 6:58 New Business (George)
Listen to this segment
i. Funding Committee will be meeting on Mondays at 1pm instead. Lan will send out an email with specifics.
ii. Sean is part of a fundraising walk this week, wants to know if others are interested. Will send out email to GSC members that we can forward, and use Facebook Grad Events group.
12) 6:59 GSC Publicity (Zeng and Ivette)
They did not make it to the meeting, will be discussed next week instead.
