i. Educational Studies Program – SPLASH is an event where grad students teach middle school and high school students. 1500 kids signed up. We get money from the appropriations committee and the GSC. We got an amount of money from UG which was in excess of what we needed after renegotiation, so we’d like to apply the GSC janitorial budget to programming so we can do more green disposal.

Anne-Laure – Recommended transferring $500 from janitorial to programming.

ii. Turkish Student Association – TSA represents Turkish culture at Stanford and brings Turkish community together at Stanford. We are applying for funds for a film series this quarter. There will be five screenings this quarter. We’d like $250 for each one to purchase food. Each one will be from a different time period, starting in the 60s until present. This will help show the changing Turkish culture. There will be discussion after every moving. We had at least 40 participants at each screening last quarter. At each screening, we receive a fairly different audience based on the focus of the film.

Anne-Laure – They asked for $250 for every for a total of $1,500. Since this was above their soft-cap, they dropped their last event. So we recommend $1,250.

iii. Comedy Club – The Stanford comedy club is planning a comedy show this Friday. We’re expecting 300 people. We have a lot of co-sponsors, so we’re asking the GSC to help us cover this event.

Anne-Laure – They requested $330, which we recommended as is since they had matching funds.

Addy – Will there be women comics?

Sohan – Actually, there will be only women comics. We expect 70% female attendance.

Cathy – How are you advertising this?

Sohan – The groups have promised to advertise this, we put it on the GSC calendar, and we are flyering. Friday, 8 pm.

iv. The Coastal Society-Stanford University Student Chapter – Not present
v. Stanford Ballroom – Not present
vi. Bhakti Yoga Club – We’re coming back for funding for our cooking class. We had planned an every week event, but we’re cutting back from July. It’s ~$1 per person – we normally have 50 people attend. We plan to hold it every Thursday in the Nairobi room.

Anne-Laure – They requested $900, but we cut the July events due to it being in the next fiscal year, so we recommend $720.

8. 6:30 pm – ASSU/SSE Update (Angelina/Raj) – Ryan – 1) Vision Earth, which is this year’s sustainability focus event. There will be a bunch of VSOs there. It’s 2 Fridays from now. We have a concert. 2) The exec action grant is done. We’ve selected recipients. We’re working with them to start their projects. We’re hashing out details, but either way it’s in progress. All the UGs were on spring break, so not much to update on.

Addy – Did any grad students win?

Ryan – Stanford Solar Initiative. Oh, also, Kelsei’s back, so say hi if you see him.

#. Jasmina – UNAFF over the last several years has shown and judged documentaries all through the year. There is a student organization that has been helping us, and we use the funds to promote via that group. Since you supported us, the tickets are free for graduate students. This year, we’re doing a theme “Education is a Human Right”, with the festival in October. It’s become one of the oldest documentary film festivals in the US.

Student – Do you only take international documentaries, or can students submit?

Jasmina – Anyone can submit, we just have a jury process. Last year we received 600 submissions. We have a jury in June ~30-35 people who are involved in this process. It’s 3 weeks of watching films.

6. 6:35 pm – Programming Update (Addy/Cathy) – Venue and catering company are negotiating safety concerns. As soon as that is done, we can tell you ticket prices.

7. 6:38 pm – GSPB Funding Approval (George/Krystal) – Grad Student

Programming Board (GSPB) Funding Request:

Lottery Dinner Byline: total requested – $750

A GSPB lottery dinner is a great way for a small group of students, who likely would never
meet otherwise, to come together over a nice meal. Every grad student is welcome to apply
for a spot, and 20 applicants will be chosen to attend at random.

1. 3 Spring Quarter Grad Trivia Nights

Thursday, March 31st ; Thursday, April 28th; Thursday, May 26th
Expected attendance: 90-120 grad students
Location: Havana Room
Requesting: $400, $400, and $400, respectively

Grad trivia is a popular monthly event by the GSPB in which we give grads a chance to de-
stress while proving their mastery of trivial knowledge.

The announcement for grad-events and grad-announce:

“Trivia Grad Night is now monthly! Seven rounds of questions, including the music round
with prizes for the winner of each round. Team registration starts at 8:30pm, questions
start promptly at 9pm. Come early to get a drink on us! There will be a food special as well,
usually $4 nachos and $5 burgers. Proof of age required for alcohol.”

3. Mega Grad Night @ Ray’s!

Thursday, April 7th
Expected attendance: 80 grad students
Location: Ray’s and the Havana Room
Requesting: $400

We will be hosting this mega grad night along with the elections committee to get the grads
into the election spirit. The title is more general to try to get more people in the door, but
this event will be the perfect opportunity for anyone running for office to mingle with the
grads.

The announcement for grad-events and grad-announce:

“Come enjoy free pizza and drinks with your friends at the GCC! The GSPB will be hosting
this co-sponsored event with the GSC and the Elections Committee, so come have fun while
showing your support for your fellow grad students who are running for office. Proof of age
will be required for alcohol.”

4. Kids DJ Dance Party

Saturday, April 9th
Requesting: $500

Every year the GSPB helps support the graduate families with their annual Graduate Family
Square Dance, and this year that same event is being turned into a general DJ dance party.
The event is open to all grad students with or without kids. Funds will help pay for the
DJ as well as snacks and drinks to be served. Further details can be requested from Andy
Hernandez (a.hernandez@stanford.edu).

5. The Great Grad Scavenger Hunt and Grad Night

Saturday, April 16th
Expected attendance: 30-50 grad students (hunt) and 80 grad students (grad night)
Location: Around campus (hunt) and the GCC
Requesting: $400 and $400, respectively

The GSPB wants to try something new to get grads out and about and seeing the campus.
The money for the scavenger hunt portion will go toward poster board (each team will be
required to take pictures of the hunt items with the team poster) and prizes. Money for the
grad night portion will go toward snacks and drinks.

The announcement for grad-events and grad-announce:

“Build teams of 2-4, and get ready to hunt! This is an electronically based scavenger hunt,
so find a friend with a phone that can text photos to an email address (if your phone has

an “@” symbol, it’s likely that yours already can!) and, on the day of the event, we will
provide you the email address to send all of your hunt photos.

Team sign-in will begin at 11am at the GCC and the hunt will begin at noon. Prizes will
be given during that evening’s Grad Night at Ray’s for winners of the hunt as well as for
specialty categories including best team costumes, best team name, and best hunt photo.
We will begin sign-ups next week, so keep checking the Grad Events and GSPB calendars
for the sign-up link!”

6. Rains Field Day and Rains Block Party

Saturday, April 23rd and Friday, May 20th
Location: Willis Lounge Courtyard (Rains)
Requesting: $400 and $400, respectively

Hosted by the Rains CAs, these are very popular events each year that the entire grad
population is encouraged to enjoy. The field day boasts a number of fun scheduled and
unscheduled outdoor games while the block party is one of the larger CA hosted parties
each year. Further details can be requested from Shandor Dektor (sgd@stanford.edu).

* Remaining GSPB and GSC-sponsored GSPB funds for the remainder of the fiscal year after
all of these requests are considered: $6771.43.

9. 6:45 pm – Fire on Fire (Nicholas) – On May 14th, we are having Fire On Fire. We’d like to know how to get this event funded and what the limits are.

Addy – You need to have an itemized description of your budget. We vote on that, and then you can get reimbursed by our FO instead of via myGroups.

Justin – E-mail us your budget.

Fanuel – What is Fire on Fire?

Rep – Different cultural VSOs prepare food coming from their region. It’s hard to estimate, but it was really well attended last year.

Addy – Have you thought of something regarding the lines that form?

Rep – The problem last year was that we had vegetarian meals by only one group, so in the beginning everyone was standing there because they were done first. So everyone ate all the vegetarian food.

Addy – Do you need a suggestion re: that? If you give people color-coded tickets that tell people when they have access to food in a certain window.

Shandor – We might be able to lend you a grill or two if they still move.

Addy – What are your other funding sources?

Rep – The Achilles fund from Bechtel. Last year, the vision was 70% GSC and 30% Bechtel. Bechtel also supplies us with garbage cans and fire extinguishers. Also, we were wondering who’s responsible for this event if someone gets hurt?

Justin – You register the event with SAL in case things go awry, so you are under the Stanford insurance policy.

10. 6:51 pm – Elections Deadline to Declare (Stephen/Jonathan) – Elections are coming up – we have 9 declared candidates. 3 engineering candidates, 2 earth sciences, 1 social sciences, and 3 at-large. If people still want to run, they can run as write-ins.

11. 6:55 pm – Rains Spring Events (Shandor and Sarah) – I too am asking for money. Rains is running with EV and any other dorms that want to help 2 grad-wide events. Field day an afternoon event with games and BBQ. We’re requesting a little over $2000. Two-thirds is food and drinks, and the other third is games. The total budget for both events is $5400. EV has volunteered $1500, Rains $1000, GSPB $800, so we need $2100. The dates are Apr 23rd and block party is May 20th.

12. 7:00 pm – New Business

Fanuel – Diversity week is coming up. We’re organizing it, but I wanted to clarify as far as line-items. We can use this?
